EXECUTIVE BOARD POSITION DUTIES

 

1.      Co-Presidents

Two official presidents preside over the board and over all meetings, conducting all official organization business. The co-presidents are responsible to act as liaisons between the club and all external organizations with which the organization is involved, such as the Milwaukee Rowing Club.  The co-presidents are responsible for the annual contracting of coaches, which requires conducting interviews and constructing contracts. At least one of the co-presidents co-signs all checks with financial chair. If an officer is temporarily unable to fulfill his/her duties due to illness, absence, or an extenuating circumstance, the co-presidents assume responsibilities of such.  In a situation that a board meeting cannot be held, co-presidents hold the authority to make executive decisions regarding official club business. The co-presidents delegate, oversee, and assist with the business of the club.

 

2.      Secretary

 The Secretary handles administrative duties of the organization and acts as the primary assistant to the co-presidents.  The Secretary is responsible for making agendas and minutes of each meeting available to the club members.

 

3.      Financial Chair

The Financial Chair is in charge of the accounting of the organization and has primary responsibility of the handling of the monetary functions of the club as authorized by the co-presidents.  All in-flow and out-flow is recorded by the Financial Chair.  Officers present a written document to the Financial Chair for an expense request.  The Financial Chair distributes reimbursements after approving the purchase and receiving proof of purchase. The Financial Chair signs all checks with at least one of the co-presidents.  The Financial Chair is responsible for providing receipts to those who make monetary donations to the Rowing Club.  The Financial Chair is also responsible for complying with those requirements outlined by the state and federal standards.

 

4.      Regatta Chair

The Regatta Chair is responsible for the coordination of transportation of all organization members and any pertinent equipment.  The Regatta Chair is also responsible for any regatta related tasks including but not limited to: registration, waivers, racing itinerary, trailering of boats, transportation of crew members, equipment needs, directions, alternate routes, projected timeline of destination, and housing.

 

5.      Fundraising Chair

The Fundraising Chair is responsible for the development and execution of all fundraising efforts meant to benefit both the organization and the local community at the approval of the board. He/she is in charge of developing fundraising events to raise money for equipment, lower dues, and travel expenses.

 

 

6.      Clothing Chair

The Clothing Chair is responsible for ordering, inventory, and sales reporting of clothing and all other organization paraphernalia at the approval of the board.

 

7.      Public Relations Chair

The Public Relations Chair is responsible for the regular upkeep of the organization website within the guidelines of club sports and is responsible for accurate reporting of general organization activities to the general public.  The PR Chair also acts as club historian and has in their care any and all historical documents for the organization.  The PR Chair is also responsible for the alumni relations, by keeping an up to date alumni contact list and acting as the main liaison between the club and the alumni.
